This Refund & Cancellation Policy outlines the terms and conditions governing cancellations, refunds, modifications, and related matters for bookings made through OnyxRoom (“OnyxRoom”, “we”, “our”, or “us”).

By making a booking on our platform, you agree to this policy.

1. General Policy

OnyxRoom acts as a hotel aggregation and booking platform connecting users with hotel partners. Cancellation and refund policies may vary depending on the hotel, room type, booking offer, season, and promotional terms.

Users are advised to carefully read the cancellation terms displayed during booking before making payment.

2. Cancellation Policy
a) Free Cancellation Bookings

Certain hotels or room categories may allow free cancellation within a specified period.

If eligible:

Cancellation requests made within the allowed free cancellation period will receive a full refund, excluding applicable convenience fees or payment gateway charges (if any).
b) Non-Refundable Bookings

Some bookings are marked as:

Non-refundable
No cancellation
Advance purchase offers

Such bookings are not eligible for cancellation or refund under normal circumstances.

c) Partial Cancellation Charges

Some hotels may charge:

One-night retention fee
Percentage-based cancellation fee
Seasonal cancellation charges

Applicable deductions will be shown during booking and processed accordingly.

3. Refund Processing Timeline

If a refund is approved:

Refunds are generally processed within 5–15 business days
The actual credit timeline depends on:

UPI/payment providers

Refunds will be credited to the original payment method used during booking.

4. No Show Policy

If the guest:

Fails to check in
Does not inform the hotel
Arrives after the allowed check-in window

the booking may be treated as a “No Show,” and no refund may be provided.

5. Booking Modifications

Changes such as:

Date modifications
Guest name changes
Room upgrades
Stay extensions

are subject to:

Hotel approval
Availability
Additional charges

OnyxRoom cannot guarantee modification requests.

6. Hotel-Initiated Cancellation

In rare situations where a hotel partner:

Cancels the booking
Becomes unavailable
Faces operational issues

OnyxRoom may:

Offer an alternative property, or
Provide a refund as applicable
7. Failed or Duplicate Payments

If payment is:

Deducted but booking is not confirmed, or
Charged multiple times accidentally,

the amount will usually be refunded automatically within standard banking timelines.

8. Force Majeure

Refunds or cancellations due to events beyond reasonable control may depend on hotel partner policies. These events include:

Natural disasters
Government restrictions
Pandemic situations
Political disturbances
Transport disruptions
9. Convenience Fees

Platform service fees, taxes, and payment gateway charges may be non-refundable unless otherwise stated.

10. Fraudulent or Misuse Bookings

OnyxRoom reserves the right to:

Cancel suspicious bookings
Deny refunds in fraudulent cases
Suspend accounts involved in misuse or abuse
